Warwick Manufacturing Company Embraces Digital Document Management to save time and money

News Full Image SMT Developments, a manufacturer of specialist electronic boards saw how much economic sense it made to switch to Document Management after a demonstration of INVU from Maple Systems (their Coventry based IT provider).

Change always meets resistance, so SMT decided that rather than implement INVU company-wide they would start with a 5 user system in their Accounts department. Their accountant could clearly see the immediate benefits of the system and was motivated to ensure the implementation succeeded. The success in this department would prove the package and allay the fears of other departments.

Their accountant had initially been concerned over the legality of scanned documents, but was reassured when he understood that INVU complied with the latest British Standard BIP 0008. This meant that upon receipt, documents could be scanned into the system and then shredded. The electronically stored image of the original paper document and its index keys cannot be edited. The document can subsequently be altered but the system has full traceability with any alterations stored as new revisions, this is crucial to meet the legal requirements of document retention.

Stefan McSweeney the IT Manager of SMT commented. “We have seen costs rise like the majority of SMEs in the UK and with the economic slowdown we need to remain competitive by keeping pace with the latest IT Systems.

A number of years ago Maple implemented Sage 50 Manufacturing for us, which gave us much better factory management, visibility and control of costs. We were thus very open to looking at INVU when Maple recommended it and our MD was quick to spot that he would have remote access to any document, making his life so much easier.

One of the spin off benefits is the gradual removal of filing cabinets enabling us to free up valuable office floor space.

Maple had recently moved into the DDM field after employing Stuart Gregg, a specialist with 11 years experience of DDM . Stuart carried out a comprehensive evaluation of all of the ‘mid range’ DDM products on the market and selected INVU as the best product, offering excellent value for money, quick return on investment and ease of use.
